HTCC News – Thanks, and Need for Audio-Camera-Security Technicians

Dear Devotees:

First of all I want to thank you and the community. We all should be very proud that we live in a community that is so full of talents and so willing to help the temple – they know it is the community’s temple.

We received very prompt response to our email seeking four volunteer coordinators. I am pleased to announce that following six volunteer coordinators were selected: Saket Srivastava (Building and Facilities Maintenance), Mahesh Anandan and Ravi Raj (Accounting and Quick Books), and Siva Chidambaram, Sanjai Natesan and Kiran Chivukula (Calendar Bookings and Address Directory as well as working with Gaurav Pal and Vijay Chowrasia on HTCC website, Facebook page, and email broadcasts through Iconnect). I plan to share with you a larger comprehensive list of volunteers via email broadcast and on website – both to publicly recognize the volunteers and help you reach them with questions and suggestions. In the meantime, we have found out that the modern high-tech audio-camera- security system that was installed in the new temple is having problems and not working properly. We can of course go to the vendor and pay him for repairs and maintenance. But you know our financial situation – we are living hand to mouth and barely making the mortgage payments. So, if there are any technicians out there in the community who work on such systems, particularly the audio system, as a job or hobby, would you kindly volunteer some time to help the temple? You will work with Sudhir Verma and Saket Srivastava who are taking care of all the Building and Facilities maintenance. You will also work with the vendor of the system for necessary repairs and may be training. After that you will be training priests, some trustees, and some volunteers in the use of the system on a day to day basis and trouble shoot when a problem arises. You will also perform routine maintenance and adjust settings as needed.

HTCC News – Need for Volunteer Coordinators

Dear Devotees:
Operating a temple involves a lot of work, besides the poojaa. The work increased further as we moved to a bigger building and facilities. So we had hired an Office Manager to take care of various tasks and help the management. However, with the very difficult financial situation we are in, it was not possible to keep the Office Manager as an employee.
So the Board of Trustees in its August Meeting decided to divide the work of Office Manager among 4 coordinators such that each coordinator would need to work only about 10 hours per week. We are requesting those in the community who have the requisite skills, have some time to spare (retirees and home makers), and above all an interest and commitment for community service to volunteer their service to the temple and community. The following paragraphs briefly describe the jobs and required qualifications.
Booking Calendar Coordinator
Job Description: The job involves receiving phone calls (temple phone and/or personal home or call phone) and/or emails (temple computer or home computer – pc or laptop) or text message (personal cell phone) from the community regarding service of priests to perform poojaa and sanskaaras in the temple or off site. You will discuss the suggested minimum donation to the temple for the service, and any additional payment to priests. If agreeable, you would book the service for the requested or available priest, making sure that it does not conflict with other scheduled activities. Then you will enter it in a calendar (paper and preferably on computer –temple and/or home pc, laptop and inform the priests of the booking. You will also perform the same duties in response to requests for renting the basement hall or other rooms. You will work closely with Mahesh Jha (President) and C.P. Mishra (Vice President Operations) about suggested donations and keeping them informed of bookings on a weekly basis.
Qualifications: Good personal and communication skills with fluency in English. Owning and using cell phone and text messaging, PC or laptop – excel spreadsheet, receiving and sending emails.
Facilities Maintenance Coordinator
Job Description: As you know the temple is a large building, about 15,000 sq ft. It is located on a large lot, about 4.25 acres. Both have to be maintained for safety, security, aesthetics,  and convenience of the devotees and priests who come to the temple. The outside work includes maintenance of landscaping and water sprinklers, snow removal in winter months, trash removal etc. The inside work includes cleaning of the building and bathrooms; maintenance and repair of doors, windows, heating and a/c systems, plumbing; maintenance of equipment such as elevator, cameras, sound system, phone and internet lines, etc. There are also monthly, quarterly and annual inspections of various systems such as fire protection. You will negotiate contracts to get better rates. Thus, you will work with many vendors and government agencies, requiring phone, text and email communications using temple office and/or your own cell phone and computer. You will work with Mr. Sudhir Verma and Arun Budhiraja, trustees, responsible for this function.
Qualifications:  Good personal and communication skills with fluency in English. Owning and using cell phone and text messaging, PC or laptop – excel spreadsheet, receiving and sending emails.
Accounting / Book keeping Coordinator
Job Description: This job involves entering accounting information in Quick Books on temple computer. Temple receives cash, check, Paypal, and credit card donations from about a hundred devotees each month. Some donors are new, most are old. The information is needs to be entered on a weekly basis. The temple pays about 25 invoices per month and this has to be also entered on a weekly basis. Besides entering data, you will need to print out reports and maintain files. You will work with Satish Kumar, Treasurer, who handles bank deposits, bank transfers and writing checks.
Qualifications:  Besides good personal and communication skills with fluency in English, you should have knowledge of and experience in accounting/bookkeeping using Quick Books.
Address Directory Coordinator
Job Description: Maintain a 3-ring binder with blank Address forms on the Reception Desk. Remove completed forms on a weekly basis and put in a permanent 3-ring binder and enter the data in an Excel spreadsheet on the computer in in the reception area. This job can be performed at any time when the temple is open. You will work with Mrs. Madhur Mahajan, Trustee responsible for Communications.  Once a month, you will email the updated spreadsheet to her. This will ensure that the temple email broadcasts reach all the devotees.
Qualifications:  Besides good personal and communication skills with fluency in English, you should have knowledge of and experience in working with Excel spreadsheet.
